A concrete workflow

Scenario: an incoming order includes dates, room type, rate, breakfast or package notes that need to become a checked PMS record.

  1. Read and map: extract essential fields from connected sources and apply hotel room, package and note mappings.

  2. Enter and verify: check required fields and hotel rules, enter the adapted system and inspect the actual outcome.

  3. Return verified confirmation: obtain a real reference before returning it to connected channels. Stop and refer missing fields, conflicts or uncertain outcomes to staff.

Before connecting

  • Confirm each order source, account access, sample format and required field coverage.
  • Hotel mappings and authorised rules for room types, rates, packages and financial instructions.
  • Validate the actual PMS brand, version and operating path, with a named exception owner.

Where people decide

Parsing financial instructions does not authorise refunds or credit. Expired logins, page changes, cancellations, amendments and uncertain writes need validated handling. Universal PMS compatibility and zero errors are not promised.

Questions before you begin

Which order sources can be assessed?

Existing materials describe OTA channels, email, spreadsheets, websites, mini programs and group orders. These are assessable paths, not default connections to every platform or format.

Can a PMS without an API be assessed?

A defined browser or desktop workflow can be assessed. Confirm system version, deployment, permissions and samples while respecting login security and platform restrictions.

When is an order successfully processed?

Verify the actual PMS result and obtain a real confirmation reference before returning it. Reading an order or starting entry is not success; uncertain outcomes require staff review.

Does Max independently change rates or inventory policy?

No. Max processes reservations under configured hotel rules and does not replace the PMS or staff judgment on exceptions. Revenue analysis and pricing advice belong to Revenue Advisor’s separate role.
